Intro to Safe Harbors/HMIS Basic

Objective: Understand the basic function and principles of Safe Harbors HMIS data entry.

Who should attend: Potential Safe Harbors HMIS users whose Agency and Program(s) have been approved for inclusion in and have been setup within the Safe Harbors HMIS. Prior to attending class, the program set-up and user's attendance should be confirmed with the assigned Safe Harbors Agency support staff. You may contact the Safe Harbors Help Desk to find out who your Agency staff member is. This is beginner level training for users with data input needs.

Content: This course is for the general Safe Harbors user doing daily data entry task. Typical users are case managers, data entry staff, intake staff, etc. The course will cover basic principles of HMIS, history and background of the system, basic policy related to data collection, security and client consent. Additionally the course covers navigation of the HMIS Program from central intake through program entry, recording the services you provide to clients, client exit and basic client application reports.

Note:  For Safe Harbors community members who wish to sign up for the  Intro to Safe Harbors/ HMIS Basic class, please contact your agency support report representatives Gwen Whipple or Mei Lin Tangalin.  If you don’t know your agency representative, or you are a new agency to the Safe Harbors HMIS community, please contact the Safe Harbors Help Desk

 Prior to attending class participants will need to receive an email confirming attendance from their agency support representative.  Participants should not show up to the Intro to Safe Harbors / HMIS Basic class without working with agency support representatives.

Using Snapshots and Services

Objective: Understand the snapshot process for income & demographic data collected throughout program enrollment

Who should attend: Data entry staff who have completed Intro to Safe Harbors HMIS and want some advanced system training.

Content: This course covers the process from entering income, editing income, and creating snapshots for clients.

AD-HOC Reports (Advanced User Training)

Objective: Understand the function of ad-hoc reporting for data quality assessment and unique reporting needs.

Who should attend: Computer savvy staff with an understanding of basic SQL Query AND/OR staff responsible for reporting for funder/contract compliance and data quality.

Content: This course will cover the basics of ad hoc reporting. It is not critical that you understand SQL Query, but it may help. Ad hoc reports are uniquely defined by the user and can be saved in the system for ongoing reporting needs. Safe Harbors staff will often write these reports and make them available for users. The trainee will learn how to create basic reports and run pre-loaded reports to assist in data quality assessments.

Management Reports Training (Advanced User Training)

Objective: Understand Management reports in HMIS, including how parameters are defined and how and when to run reports.

Who should attend: Staff responsible for submitting reports to Funders and anyone who needs to validate the completeness of data entered in the HMIS.

Content: This course is advanced user training specific to viewing data quality via reports and troubleshooting incorrect data. Objective: Understand Management reports in HMIS, including how parameters are defined and how and when to run reports. Who should attend: Staff responsible for submitting reports to Funders and anyone who needs to validate the completeness of data entered in the HMIS. Content: This course will introduce a series of management reports that can be run from the HMIS. Management reports are defined in the system as static reports generated from the client data entered in the HMIS. The trainee will learn how to run various formatted reports and related detail reports. Trainees will learn to run bed night reports (housing programs only) and data quality reports used to validate the quality and completeness of your client data.

HUD Annual Progress Report (APR) - Generation in the HMIS

Objective: The trainee will learn how to create the APR and learn about the supporting reports that can be used to validate the numbers generated in the APR.

Who should attend: Staff responsible for the submission of the APR to HUD/McKinney Contract Manager. One other agency staff is urged to attend as a back-up (either a data entry person or another staff familiar with grants in the agency).

Content: In this course you will learn how to set up the point-in-time number to be served and yearly contract goals/objectives narratives and to use the APR detail reports to gather yearly progress (APR worksheet). Trainees will also learn to run their APR by parameters and contract year and access supporting reports useful for validating the APR numbers generated by the HMIS

Introduction to Data Integration (DI)

Objective: The trainee will learn how to upload, validate and map XML files. In addition, a basic understanding of the User Interface will be covered in order to allow validation of the data once it has been successfully imported.

Who should attend: Staff responsible for the uploading and validation of XML data from external data sources to Safe Harbors.

Content: In this course you will learn how to upload XML files to the Adsystech Data Integration server, validate that the data was successfully uploaded and mapped to the correct HUD values, map those values if they have not been mapped and to use the Conversion Console Page to import the data into Safe Harbors.
